One source of truth

When the HR system and the org chart both accept edits, they will disagree within weeks. Pick one owner of the data, normally the HR system, and let the chart read from it. Corrections go to the source and reach the chart on the next load.

Four ways to load data

MethodFits whenWatch out for
File upload (CSV or Excel)You are starting, the structure changes rarely, or the data lives in a spreadsheet.Someone has to remember to load it.
Scheduled file transfer (SFTP)Your HR system can export a file on a schedule, for example every night. The export format must stay stable; agree who is told when it changes.
APIYou have developers or a platform that can send standard and custom fields. It needs someone to build and maintain it.
Same suite (EcosAgile People)Employee master data is managed in EcosAgile People.Only works for the data kept there.

Preconfigured sources

The Import Wizard starts from a standard mapping for the systems below, so you pick the source and review the match instead of building it from scratch. If your setup differs, for example because of custom fields or a variation in your export, you can adapt the mapping yourself or ask us to do it.

Mapping checklist

Before the first load, check these with the people who own the export:

  • One row per person, and only active people unless you need history.
  • The same ID in the ID column and in the manager column.
  • Unit, location and job codes taken from lists, not typed.
  • Dates in one format, text in one encoding.
  • A named person who answers when a column changes.

The first load

The first load is a test. Compare the result with what the HR system says, then go through these checks:

  1. Count. Does the number of people match the HR headcount for the same date?
  2. People outside the hierarchy. Whose manager is missing? Fix it at the source.
  3. Duplicates. Which IDs appear twice?
  4. Spot checks. Ask three managers to look at their own branch.

When the first load passes, switch on the scheduled update and stop touching the data by hand.

How this looks in OrgChart Agile

  • The Import Wizard guides you from your file to the chart: choose the source system, review how your columns match OrgChart Agile fields, confirm and load.
  • A badge shows how many people are not attached to the hierarchy; duplicate IDs are reported in the import log.
  • There are preconfigured mappings for widely used HR systems and an Other option for any other source. You can adapt a mapping yourself, for custom fields or a variation in your export, or ask us to do it. See Integrations.

Questions people ask

Do I need IT to connect my HR system?

For a file upload, no. For a scheduled transfer or the API, you need someone who can configure the export or the call. We set up the scheduled transfer with you.

How often should the chart update?

As often as your HR data changes in a way that matters. Many teams start with a nightly update, which keeps the chart current without anyone touching it.

What if my HR system is not listed?

Choose Other and map the columns once. You can adjust the mapping yourself when your fields change, or ask us to do it.
